Senior Executive/Executive, Admin, Ops & Facilities

The Senior / Executive. Ops works closely with multiple internal and external stakeholders to ensure smooth operations of DPH and provide estate management support.
Responsibilities
A. Administration
- Manage renewals (licenses, insurance, road tax) and maintain office equipment.
- Develop and implement administrative, procurement, and compliance procedures.
- Prepare and monitor annual budgets; coordinate with Finance on procurement and payments.
- Oversee risk management and disaster recovery policies.
- Produce monthly management reports.
- Source and evaluate vendors based on quality, ethics, and cost-effectiveness; manage vendor performance.
B. Operations
- Supervise in-house technician and ensure upkeep of building facilities through regular inspections.
- Manage service contractors (e.g., housekeeping, landscaping, pest control, security).
- Handle vendor issues and service claims.
- Lead maintenance planning, troubleshooting, and corrective works.
- Ensure proper waste management and inventory control.
- Oversee facility operations, health & safety, and customer experience.
- Manage medical equipment, utilities (electricity, gas, water), and food services.
- Liaise with hospital security teams to coordinate day-to-day safety operations.
C. Safety & Quality Assurance
- Review and improve ISO/OHSAS standards and policies.
- Ensure timely follow-up and reporting of quality improvements.
- Work with department heads to meet quality control requirements.
D. Other Responsibilities
- Perform FSM duties (if applicable).
- Supervise medical equipment maintenance and linen/uniform services.
- Coordinate supply of medical consumables and F&B vendor services.
- Support staff events and operations-related training programs.
- Ensure adherence to health, safety, and environmental protocols.
Requirements
- Degree in Building/Facilities Management/ Bio Medical Management or a related field
- Min 4 years of experience in Admin / Operations and/or facility management
- Preferably with experience in ISO Quality Management System and/or OHSAS
- Certificate in Fire Safety Manager Course recognised by SCDF or equivalent is an added advantage
- · Mature, dynamic, and self-motivated individual with excellent communication and interpersonal skills;
- Able to work independently with minimal supervision, remaining flexible and cooperative in fulfilling all responsibilities.
The successful candidate can expect to earn up to $4,500 basic salary per month, commensurate with experience.
